Time Management for Property Managers

  • Time management is one of those skills a property manager learns on his or her own. It is not learned in school or during job training. Even the smartest and most skilled property manager must teach himself time management to complete daily tasks. The best property manager this as productivity is a huge topic in the workplace. So if you know time management is an issue with you, here are some tips to make your workday more productive.

    Always write stuff down. A property manager who writes down to do lists, messages, and thoughts never forgets. Don’t rely on the mind to remember. The mind is faulty and easily distracted. Many writers and song writers go by the cliché if you forgot it then it probably wasn’t worth remembering. This is not true. Humans forget everything whether something was important or not.

    Prioritize your to do list. This way a property manager focus on the things that are really important. Use the alphabet or number system to rate the tasks by importance. When the most important tasks are finished, take care of the rest.

    Ideas and tasks sometimes hit us when we least expect it. This is why it is important to carry a notebook. Notebooks come in pocket size so it will be easy to carry for any property manager. When a thought comes to mind, capture it by writing it down. If it is on paper the thought can’t get away. If a note book is not your style, use a digital recorder.

    Don’t leave work tasks sitting for too long. New tasks don’t wait for a property manager to finish old tasks. Procrastination only increases the workload and procrastination increases from the overwhelmed feelings. So take care of tasks immediately, no matter how tedious they may seem.

    No matter how great you think you are at multitasking, your not. Multitasking decreases productivity when it includes watching a sitcom and text messaging. However, sometimes a property manager avoid multitasking. Try to complete each individual job first before you decide to take them all on at the same time.

    Check your email regularly. Self storage use email to report problems to their property manager. If you check your email a few times a day then a customer’s request will not become neglected. Or if a customer is emailing the details of a bill payment, an awkward situation won’t develop when a property manager  is conducting followups on late rent payments.

    Getting projects started is the hardest part of any project. However, once a property manager gets started, finishing is easy. Whenever we are faced with a hard task, anxiety builds up and it increases the closer we get to the start. But once the project gets started that anxiety immediately disappears. So force yourself over that initial hump and keep in mind that it isn’t as bad as you think it is.

    A property manager  has a lot to do each day, but remember to take it slow once in a while. Sometimes slowing down is faster. If you are in a hurry to complete a project, you may make mistakes that add more time to complete the job. Slow down for speed.
