  • Reduce Your Stress Level

    When it comes to managing your emotions on the phone, things can get pretty tricky pretty quickly.  Especially when you are just starting out, you have the tendency to take everything personally when it comes to your irate callers.  You feel like you are the one who made them upset, which, in turn, makes you defensive and upset.  Of course, there are things that you can do to keep the situation under control when you get an irate caller, which is going to make your life quite a bit easier.  If you are not familiar with these sorts of techniques, then you might want to take a few notes as you are making your way through this article.

    First and foremost, reader, you are going to want to be sure that you are not letting yourself get too caught up in the emotions of the moment.  The irate caller came to you, reader, but that does not mean that you are the problem, here.  They were already upset when they gave you a call, and you are not going to be able to accomplish anything by getting upset yourself.  If, when your caller starts yelling at you, you feel that you are about to becoming absorbed in the moment, then you are going to want to take several deep breaths and calm yourself down.  Just remind yourself that you are the solution to the problem, and not the problem itself.

    Of course, it never hurts to make sure that you have all or the little things that you need to calm yourself down.  Always be sure that you have a glass of water, as drinking a large gulp of water is known to calm people down.  Remember, here, that nothing is silly if it helps you calm down.  If you set the desktop pattern of your computer to something that makes you happy, then you are going to be able to calm yourself down by looking at it.  I mean, there is really no limit to the number of things that you can do to calm yourself down, so try not to leave any of them out.  You never know when you are going to need to incorporate several stress killing techniques.

    Now, if the situation is really getting out of control, then you are not going to want to torture yourself by trying to endure it.  That, of course, is why you have a supervisor.  If you really feel that you are not going to be able to handle the caller, put him on hold, explain the situation to your supervisor, and wash your hands of whatever is going on.  Sure, you may feel defeated, but at least you are not going to have to deal with that nightmare any longer.  Just be sure that you do not give all of your irate callers to your supervisor, or you might find that you have created an irate coworker for yourself!

    At the end of the day, you are never going to have fun when it comes to dealing with irate callers.  That, however, does not mean that you have to let them ruin your day every time.  If you practice your stress management skills and make sure that you are not getting angry with your callers, then you are going to be able to handle irate callers like a genuine professional.

  • Don’t Forget The Rules

    When it comes to making the best use of your time, you cannot afford to forget about the moving truck.  I mean, when you know that you are going to have to move all of your belongings, you should set out to rent a truck immediately, or at least make reservations.  While you may not like the extra expense at first, you are going to find, rather quickly indeed, that moving trucks are worth each and every penny.  Of course, if you are going to rent one of these, you are going to need to know a little bit about how they operate.  That, you might say, is precisely why I am writing this article.

    The first thing that you have to know about moving trucks is that they are, well, big.  They are much larger than your standard vehicle, which means that you are going to have to treat them with a certain amount of care.  When you are in residential neighborhoods, you are going to have to be sure that your rear view mirrors are not smacking into parked cars.  When you are on the standard roads, you are going to have to be sure that you are taking your turns a lot more slowly, and that you are not posing any sort of threat to bikers and regular cars.  Also bear in mind that you are not going to have a rear view mirror, as the cabin of the truck is going to be very large.  This, of course, means that you are going to have to make good use of your side view mirrors, both when you are driving and when you are parking.  This can take some getting used to, so you are going to want to be sure that you take the truck for a spin in the parking lot before you hit the real roads.

    Moving on, here, you are going to want to be sure that you have done a good job securing all of your possessions in the back of the truck.  When you make turns, your possessions are going to have a tendency to slide around a great deal, which can be pretty dangerous.  If you have lots of large, heavy furniture items, then you are going to need to be sure that they are strapped down and safe.  Even if you are careful to avoid the sharp turns and the reckless driving, you still have to take this extra step to be sure that you are not ruining all of your belongings.  I can tell you from personal experience that there is nothing fun about combining reckless driving and moving trucks.

    Finally, reader, you have to be sure that you are listening to your rental company about how to return the truck.  If you need to have a certain amount of gas in the tank when you return the truck, then be sure that you have gas in the tank when you return it.  If you know that you have to return it at a certain time, then be sure that you return it at that time.  This advice is very simple, but it would surprise you how many people seem to forget it.  Needless to say, there are a lot of fees associated with failing to follow the rules.

  • Shopping In The Good Ol Days

    Back in the day, it used to be very, very hard to shop around for just about anything.  Before computers and the internet, you had to physically shop around.  You had to visit all of the local stores and check the prices out with your own two eyes, and that took a lot of time.  It was understandable, back then, for you to simply buy your products at the nearest outlet and save yourself some time.  Now, though, with the power of the internet at your disposal, you do not have an excuse for failing to shop around.  Nowadays, if you want to save yourself some money, all that you have to do is conduct a few simple search queries.  Not familiar with this method of shopping around?  Read on.

    Let us say that you are trying to find the self storage facility that is closest to where you live.  To do this, all that you are going to have to do is pull up a digital mapping service and input your address.  Run a Search Nearby query to find the facilities that are close to where you live, and use the ruler tool to determine precisely how far away they are.  No longer are you going to have to waste your time driving out to an office that is way too far away from your home.  Now, from the comfort of your computer chair, you are going to be able to make a fast judgement call.

    Of course, you are also going to want to use your computer to get a feel for what your local facilities are offering.  IF, for example, you know that you are going to need a moving service and a moving truck at the end of the day, then you are going to want to limit your search to the self storage facilities that can offer these kinds of services.  While they are going to be slightly harder to come by, they are going to drastically simplify your list of chores at the end of the day.  When you do not have to run all around town to rent your truck and get your moving service, you save yourself hours and hours of time.  That, of course, is quite important when things start to get a little bit hectic.

    Finally, reader, you are going to want to be sure that you are mining the internet for all of the moving specials that it contains.  IF you check the websites of the major companies that are in your area, chances are that you are going to come up with some moving specials that can save you a great amount of money.  Sure, you are not going to like spending a bit of your free time scouring the internet for deals, but you are going to end up thanking yourself for your tenacity.  When your tenacity amounts to dollars that you do not have to spend, you are going to find yourself agreeing with my methods.

    Shopping around is so easy nowadays that you are truly shooting yourself in the foot if you rent your storage unit impulsively.  Get on the internet, check out what your local area has to offer, and be sure that you are not wasting your money.  It is really as simple as that.

    I had the pleasure of going on a weekend getaway last weekend. We were treated to a weekend in Orlando, Florida by my boyfriends (Todd) boss. It was a great time and I highly recommend the Royal Pacific Resort in the Universal Studio area. One of the things that are great about well run properties is that they seem to run smooth on the outside. Over the course of 3 days every single person affiliated with the resort was nice. Not syrupy sweet fake nice, but genuinely friendly and helpful nice. And they somehow managed to make it seem like you weren’t in a building with several thousand other people. It was obvious that they appreciated our business and were happy to be working at their given job. I have done a little traveling over the years and trust me, some people or places are not that friendly to outsiders. I am not sure if they feel like people are intruding on their turf or if somehow they feel that they were “burned” by a tourist but, it makes the trip less enjoyable if you are not having a fun time because of circumstances beyond your control.

    What do our callers hear in the back ground when we are on the phone with them? I hope they only hear me giving them lots of good information, answering their questions and making a reservation for storage.
    It was just last week when I was on the phone with a potential tenant that I found myself apologizing for the noise in the background. The noise was coming from several people who were busy talking about their extracurricular activities.
    You can work in an office area with many cubicles or an apartment call center with lots of representatives; the rules are still the same! You must always take into consideration the person who is on the phone. I speak from experience; I am one of those individuals who are easily distracted.
    Here are a few tips for those of us who make our living on the phone. Learn how to follow these guidelines and your customers will appreciate it.

    1. Never chew gum when you are taking calls
    2. Do not eat crunchy foods on the phone
    3. If you need to take a drink do not gulp
    4. Try not to rattle papers around your headset
    5. If you must yawn make it a quiet yawn

    I have noticed in the last couple weeks that the tone of my voice makes a major difference in the flow of my conversation with customers and the success of my calls.
    People can feel and hear in your voice when you are in a bad mood or just having a bad day. Generally when I am not up to par I can see the effect of that in the results of my work. For example, the other day I had a headache and I just could not get it together. I was really not having a good day and I did not hide it. I did not realize how it was affecting my performance until someone else brought it up. Looking back on some of the calls I took I can understand the outcome of my performance. I was not doing my best because I did not feel my best. We need to keep in mind that the people we come in contact with have nothing to do with what may have happened to us prior to coming in to work. Sometimes it is hard to put your best foot forward but it is necessary to leave your frustrations and problems at the door. It is fortunate for us that at Phone Smart our managers are tuned into all of our human weaknesses. We are always free to go to a manager or supervisor and let them know that things may not be good right now. There are many projects that are beneficial to the call center that can be done until our situation improves and we can get back on the phones. Let us all keep a smile on our faces so it can shine through to our callers.

    I’ve been trying to get in touch with a place that has dog pens for sale for some time now.
    We weren’t too much in a hurry to purchase one, but just looking around. We had driven by one place and noticed that they had one right out front for sale, so we stopped in to get some more information. Unfortunately the owner had stepped out and the guy watching over the place didn’t have any information at all on it. He asked if we wanted to leave our phone number for the owner to call us back and we did.
    We waited and waited and waited for a return call. We never received one. As I said, we were in no hurry at the time, so we didn’t worry too much about it.
    Recently we looked up the phone number again, because we wanted it for this year. No one answered the phone. I left a message regarding getting the price of the fencing and asked them to please call us back as soon as they could.
    It’s been a week now and no return call. Now, I’m going elsewhere. I wonder how many customers they’ve lost due to unreturned calls. Are you promptly returning your customer’s calls?

    This morning on my way to work, there was a garage sale. Well, it actually was a yard sale but who is keeping track. There were quite a lot of parked cars all around and traffic was moving slowly. But, what I found that was humorous was that many cars were doing “drive by shopping” and not stopping. As if they had a special item in mind and that they could see that item from the road. What? I myself have been to many a garage sale and always park and get out of the car and see what wares the people have to offer. The last time I had a yard sale, a lady pulled up and a child got out of the car and walked around the yard looking a different items. She would then tell him to pick up a certain item and he would wave it in the air and tell her how much the item was. A few times she would have him come over to her car with the item so she could have a closer look.
    We have somehow become a “drive by” society. Drive by, drive thru, drive up, are all for our convenience. Are you running a business that people are able to drive by and never come in to see what you have? How is your “curb appeal?” What about your signage and store front? You want to draw people to your business and you want them to come in. The same thing can be said of people that use the telephone to “shop around.” If you are able to convince that person to come to your site they won’t have “drive by” to any other sites.
